Purpose
Process multiple payrolls in a timely, accurate and confidential manner.
Responsibilities
Administration
- Administer and process full-cycle bi-weekly and semi-monthly payroll for hourly and salaried employees, including union and non-union groups in compliance with company policies, CRA regulations, ESA, and collective agreements.
- Verify hourly time entry to ensure all scheduled hours are accounted for to ensure integrity of attendance and absence reports.
- Identify and escalate time data discrepancies, anomalies or items requiring further clarification to the supervisors as needed.
- Import and audit hourly time data entries to ensure accuracy and completeness prior to payroll processing.
- Review and enter additional time from the salaried monthly overtime sheets and follow up any discrepancies as required.
- Compare staff monthly timesheet absence records.
- Maintain employee HR records within the company’s payroll system. Audit and record hourly and salary schedule changes.
- Maintain, improve, and verify the integrity of payroll database. Troubleshoot payroll related issues and resolve discrepancies.
- Administer all statutory garnishments and submit payment in a timely confidential fashion.
- Process severances and Records of Employment in line with legislated guidelines.
- Prepare and remit all tax source deductions by deadlines.
- Prepare accurate and timely payments and ensure compliance with Employer Health Tax and WSIB. Verify and prepare year end T4 and T4A slips.
- Prepare annual reconciliation of EHT and WSIB. Other duties as required.
Reporting
- Maintain detailed payroll documentation for audit purposes.
- Provide Occupational Health nurses with payroll information as needed for WSIB and STD/LTD purposes.
- Report monthly union dues payment and provide union with a list of active members.
- Report monthly, acting supervisor and temporary employee hours.
- Report monthly absenteeism and overtime hours. Report to supervisors on the vacation availability of hourly employees as needed.
Communication
- Respond to employees and other inquiries in a friendly, courteous, informative and timely manner while maintaining confidentiality.
- Advise employees on matters relating to payroll. Communicate and coordinate follow-up with various departments as required.
- Work with the HR team to ensure accurate and timely processing of new hires, terminations, and merit increases.
- Liaise with internal and external auditors.
- Regularly communicate with HRIS consultants to correct issues, make necessary system updates etc
Training and Education
- Grade 12 or equivalent.
- Post-secondary education in Business Administration or related experience.
- Payroll Certification (CPA) is an asset.
- Experience in a computerized payroll system in a unionized environment.
- Good knowledge of Word, Excel, and basic accounting principles.
- Comprehensive knowledge of all aspects of Canadian Payroll legislation.
